In short
Email hello@kampuscloud.app with the word Privacy in the subject line and the details listed below. We acknowledge the request, verify it against the account, and pass it to your institution, which holds the records as the data controller. We respond within 30 days.
In the Kampus mobile app the same route is under Settings › Delete my account and data, which opens a pre-addressed email with these fields already filled in.
Who can ask
Anyone with a Kampus account — a student, a parent or guardian, a teacher, or a member of school staff. A parent or guardian may ask on behalf of a child in their care. A school may ask on behalf of anyone in its institution, and a school ending its subscription is covered by the timetable in the last section.
How to request deletion
We need enough to find the right record and to be sure it is yours. Include:
- your full name, as your school records it;
- your institution's name and campus;
- your role — student, parent, teacher or staff — and your roll or registration number if you have one;
- the phone number or email address on the account;
- whether you want the account closed only, or the records behind it deleted too.
We will not act on a request we cannot verify, and we will not ask you for a password, a payment detail or a copy of an identity document by email.
What happens next
We acknowledge the request, verify it against the account, and pass it to your institution. Your school is the data controller for its records and decides on requests that concern them; Kampus acts on its instructions. You get the outcome in writing within 30 days. If verification is genuinely slow we will tell you why before that deadline, not after it.
What closing the account does
Immediately on verification, and before anything else:
- every session is revoked and every device is signed out;
- the push-notification token held for each device is destroyed, so no further alert can reach it;
- the credentials stop working, on every platform.
What deletion removes
- sign-in credentials, sessions and refresh tokens;
- device identifiers and push-notification tokens;
- app preferences — language, notification categories, biometric app-lock;
- profile details and contact details;
- messages sent, and the photos and files attached to them.
What is kept, and why
Some records cannot be erased on request, because they are your institution's records rather than yours alone and it is legally obliged to keep them:
- Academic records — enrolment, attendance, marks, results and certificates. A school has to be able to issue a transcript years later, and an erased result cannot be re-issued.
- Financial records — vouchers, payments and receipts. Accounting and tax law sets how long these are kept, typically seven years.
- Audit entries recording that an action happened, retained in a reduced form that no longer identifies you where identification is not required.
Where a record must be kept, we say so in the response rather than quietly leaving it in place.
How long deletion takes
The same timetable applies to an individual account and to a school ending its subscription: a 30-day grace period in which data can still be exported, deletion from production systems within 90 days after that, and expiry from backups within a further 12 months. Backups are encrypted, are not searchable, and are never used to restore an individual record. This is the same retention timetable set out in the Privacy Policy.
If you only want to stop using the app
You do not have to delete anything. Signing out and removing the app ends every session on that device, and turning notifications off in Settings stops the alerts without touching your records. In the app, Settings › Signed-in devices lists every device holding a live session and signs one out immediately.
